How to Automate Missed-Call Text-Back in GoHighLevel

How to Build Missed-Call Text-Back
There's a two-minute version of this (a settings toggle) and a version that actually holds up under real call volume (a workflow). Here's the order I build the second one in.
Trigger it off the Call Status event, not a guess
GoHighLevel has a native "Missed Call Text Back" toggle in Business Profile settings that sends a fixed SMS with zero setup — a reasonable starting point. For anything more than a single generic message, build it as a workflow instead, using the "Call Status" trigger. Filter it to Call Direction: Incoming, and select the statuses that actually mean nobody picked up — no-answer, busy, and canceled at minimum; add voicemail if you want the text to go out even when a caller leaves one. That's the exact event, not a proxy for it.
Write a message that references the actual call, not a generic apology
"Sorry we missed you!" reads as a bot because it could have been sent to anyone. A message that works acknowledges specifically that they just called — "Hi, this is [Business] — we just missed your call" — and gives them one concrete next step: a booking link, "reply here and we'll call you right back," or a direct alternate number. Pull the caller's name from the CRM record if you have it and merge it in; a message with no name and no specific next step gets the same low reply rate as no message at all.
Give the caller a reply path that actually reaches someone
The reply-here option only works if a reply actually lands somewhere a human sees it — GoHighLevel's Conversations inbox, or a workflow branch that checks for an inbound reply and notifies whoever's on call. If the text-back message invites a reply but nobody's watching that number, you've just added a second dead end on top of the missed call. Decide who owns replies to this number before the workflow goes live, not after the first one gets missed too.
Route the text-back into a real follow-up sequence, not a one-off send
A single SMS is a start, not a finish — most missed callers who don't reply to the first text still haven't been reached. Chain the text-back into the same kind of multi-touch sequence covered in the lead follow-up guide: a same-day second touch if there's no reply, then a call-back task assigned to a team member, then a scheduled follow-up a day or two later. Tag the contact so the sequence knows it started from a missed call specifically, and set an exit condition — a reply, a booked call, or an outbound call that actually connects — so it stops the moment a human takes over.
Test it against a real missed call before trusting it
Call the number yourself and let it go to no-answer, then confirm the SMS actually arrives within seconds, the merge fields populate correctly, and the reply path works end to end. Test the busy and voicemail statuses separately if you've included them — a workflow that fires perfectly on no-answer can still silently skip the voicemail case if the filter wasn't set to catch it. A missed-call automation that fails silently is worse than no automation, because it creates the impression callers are being handled when they aren't.
Where the Call Actually Has to Land First
None of the workflow logic above fires unless the call itself is going through a number GoHighLevel can see the status of. That number is usually provisioned through LC Phone — LeadConnector's native, built-in telephony — but it doesn't have to be. An external number can be forwarded or connected into GoHighLevel and the same Call Status trigger still fires on it, as long as the call is actually routed through the platform rather than just ringing a phone GoHighLevel never sees.
